Build Your AI Personal Assistant: Hand Over the Life Admin
When we build an executive assistant for a founder, a second request often follows within a month: can it do this for home as well?
It can, and for owner-operators it matters more than it sounds. The person running the company is frequently also running a household, and the mental load does not respect the boundary. Registration renewals and term dates occupy the same head as payroll.
Keep work and home as two assistants
Our first recommendation is structural. Do not extend the work assistant into personal accounts. Set up a second one.
| Work assistant | Personal assistant | |
|---|---|---|
| Accounts | Company mail, calendar, drive | Personal mail, family calendar, personal drive |
| Plan | Company subscription | Personal subscription |
| Who can see it | You, plus whoever covers for you | You, and perhaps a partner |
| If you sell or leave the business | Stays with the business | Leaves with you |
Separate accounts keep family information out of company systems and make the eventual handover of either one clean.
What the personal assistant handles
Roughly 50 to 80 percent of domestic administration is predictable processing:
- Pulling deadlines and amounts out of incoming mail from schools, clubs, insurers, utilities and councils
- Reconciling several sources into a single family calendar
- Maintaining a register of subscriptions, policies and renewals, and flagging increases
- Drafting the routine correspondence: the query to the insurer, the RSVP, the booking request
- Organising documents so warranties, policies and receipts are retrievable
A one-hour setup
- Connect the personal accounts on a paid plan with model training switched off.
- Create a renewals and subscriptions register from a search of the past year’s mail. Review it once for errors.
- Agree a folder structure and file-naming convention and have existing documents sorted into it.
- Schedule a Sunday summary: deadlines in the next fortnight, payments due, replies outstanding, proposed calendar entries awaiting your approval.
After that it costs about ten minutes a week.
Guardrails
The assistant prepares; a person confirms. It does not make payments, confirm bookings, cancel services or send messages unattended. We keep children’s information to logistics only. And we suggest leaving the meaningful parts to humans: it can organise the party, but it should not pick the gift.
The business case for a household tool
It sounds indulgent until you notice where an owner’s attention goes on a Tuesday afternoon. Removing the domestic backlog is one of the cheaper ways to get a leader’s focus back.
If you already have a work assistant from us, adding the personal one is a short session. If you have neither, start here.
