AI Implementation

Does Your Organisation Have Its Own Anthropic or OpenAI API Key?

Does Your Organisation Have Its Own Anthropic or OpenAI API Key?

Here’s a question we’ve started asking every for-purpose organisation we work with:

Do you have your own Anthropic or OpenAI API key?

The answer is almost always no. And usually followed by a confused look.

Most for-purpose organisations — and most small businesses, frankly — are using AI in one of two ways: someone on the team has a personal ChatGPT account, or the organisation is paying for a handful of ChatGPT Team seats.

That’s fine for asking questions and drafting emails. But it’s a bit like having a car and only ever using it to sit in the driveway and listen to the radio. The engine is right there. You’re just not turning it on.

What’s an API key and why should you care?

An API key is a simple credential — think of it like a username and password — that lets your software talk directly to an AI model.

Instead of a human opening ChatGPT, typing a question, and copying the answer somewhere, your systems can do it automatically. Your CRM can summarise donor interactions. Your intake forms can be triaged and categorised. Your grant applications can be drafted from templates with real data pulled in. Your volunteer communications can be personalised at scale.

The AI does the same work it does in ChatGPT. But instead of a person sitting in the middle, it’s wired directly into the tools your team already uses.

Why the API is better than ChatGPT seats

Cost

A ChatGPT Team subscription costs $25-30 per user per month. If you have 10 staff members, that’s $300/month.

An API key costs you based on actual usage. Most small for-purpose organisations we’ve set up spend $10-50 per month total — not per person. Everyone in the organisation benefits, because the AI is embedded in the systems they already use, not in a separate app they have to remember to open.

Privacy

This is the one that surprises people. The free version of ChatGPT and even some paid tiers may use your conversations to train future models. That means when your program manager pastes in client case notes to draft a report, that data might end up in the training set.

With API access, your data is not used for training. Both OpenAI and Anthropic are explicit about this in their API terms of service. For for-purpose organisations handling sensitive client data — domestic violence services, disability support, mental health programs — this matters enormously.

Integration

ChatGPT is a standalone tool. You go to it, use it, then go back to your actual work.

API access means AI is embedded in your actual workflows:

  • A new volunteer signs up → AI generates a personalised welcome email based on their skills and interests
  • A donor makes a contribution → AI updates the CRM, drafts a thank-you, and flags if they’ve hit a milestone
  • A grant application is due → AI pulls your impact data, drafts sections based on the funder’s criteria, and formats it to their requirements
  • An intake form is submitted → AI triages the urgency, categorises the need, and routes it to the right team member

None of this requires anyone to open ChatGPT. It just happens.

What does it actually take to set up?

Less than you think.

Step 1: Create an account. Go to platform.openai.com or console.anthropic.com and sign up. It takes five minutes.

Step 2: Generate an API key. It’s one button click. Then treat it like the key to the office: it belongs in a secret store inside an account your organisation owns, never in a spreadsheet, an email, or a contractor’s laptop. Anyone who helps you build should use your key in your account, so you can revoke their access without changing anything else.

Step 3: Add credit. Load $20-50 to start. You can set spending limits so you never get a surprise bill.

Step 4: Connect it to your tools. This is where the magic happens. Tools like Make, Zapier, or n8n can connect your API key to your CRM, email system, forms, spreadsheets — whatever your team uses. No code required for basic automations.

For a typical for-purpose organisation, the initial setup takes a day or two of focused work. After that, it runs on its own.

Which one: OpenAI or Anthropic?

Both are excellent. Here’s the short version:

OpenAI (the GPT models): Broader ecosystem, more integrations out of the box, good all-rounder. If you’re using Make or Zapier, OpenAI integrations are usually pre-built.

Anthropic (Claude): Often better at nuanced writing, longer documents, and following complex instructions. Excellent for grant writing, policy drafting, and anything that requires careful, structured output. Strong privacy stance.

Our recommendation: start with one, expand to the other as needed. Many of our clients end up using both — Claude for writing-heavy tasks and GPT for quick automations and integrations.

The real question

The real question isn’t whether your for-purpose organisation should have an API key. It’s: what would your team do with 20 extra hours a week?

Because that’s roughly what we see when a small for-purpose organisation properly integrates AI into their operations. Not by asking everyone to use ChatGPT more, but by wiring intelligence directly into the systems they already use.

Twenty hours a week that used to go to data entry, email drafting, report formatting, and manual triaging — now redirected to the actual mission.

For an organisation that exists to make an impact, that’s not a technology upgrade. It’s a force multiplier.

Getting started

If you’re a for-purpose organisation and this sounds relevant but you’re not sure where to start:

  1. Audit your repetitive tasks. Where does your team spend time on things that follow a pattern? Data entry, email responses, report generation, scheduling — these are your quick wins.
  2. Pick one workflow. Don’t try to automate everything at once. Pick the one that eats the most time or causes the most frustration.
  3. Set up an API key and connect it to that one workflow using Make or Zapier.
  4. Measure the result. How much time did you save? What’s the quality like? Then expand.
